If you've already created your letter template in an external program (e.g., Adobe InDesign, Canva, or Word), you can upload the finished PDF file directly to AutoLetter. The system automatically checks whether the file meets DHL print requirements.
Navigate to Templates in the dashboard and click New Template.
Choose the PDF Upload option instead of the visual editor. You can upload your file via drag-and-drop or through the file dialog.
AutoLetter automatically checks your PDF against all DHL requirements. This process usually takes only a few seconds.
Even with PDF templates, you can optionally add a QR code and a personalized greeting. These are overlaid on the PDF during printing. Make sure there's enough space at the corresponding positions.
If validation is successful, save the template with a descriptive name.
Your PDF file must meet the following criteria:
| Requirement | Value |
|---|---|
| Format | DIN A4 (210 x 297 mm) |
| Maximum file size | 19.5 MB |
| Fonts | Must be embedded |
| Color profile | CMYK recommended |
AutoLetter shows a warning once the file size exceeds 15 MB. Try to compress images in the PDF to stay below this threshold. The absolute maximum is 19.5 MB.
On the first page of your PDF, certain areas must remain clear for DHL. AutoLetter checks these zones automatically:
| Zone | Position | Size |
|---|---|---|
| Sender field | Top left | 23 x 85 mm |
| Postage zone | Top right | 85 x 16 mm |
| Recipient field | Center left | 85 x 21 mm |
Additionally, page margins apply on all pages:
Content in the reserved DHL zones causes a validation error. DHL prints the recipient address, sender information, and postage in these areas. Your design must not contain any elements there.
Create a template in your design program with the DHL zones as guide lines. This helps you avoid validation errors from the start. You'll find the exact positions in the article on DHL print requirements.
